Nowadays its really important that you set up MFA on your systems in the cloud, including 365 email, outlook etc. It means that it is harder to get hacked, and also if there is an attempt then the attacker will be prompted for a code from your MFA app. That code changes every few seconds, unlike your password and so hackers cant collect your credentials and log in without you knowing. For organisations that process personal data and have safeguarding needs this is even more important.

Follow these 6 simple steps to get it set up.

What you will need

  • Your Microsoft 365 email address and password.
  • Your mobile phone (iPhone or Android).
  • Access to a computer or laptop.

Step 1 – Install Microsoft AuthenticatorInstall the free Microsoft Authenticator app on your mobile phone from the Apple App Store or Google Play Store. The icon looks like this

Step 2 – Open your Microsoft 365 security settings

On your computer:

  1. Open your web browser.
  2. Go to Microsoft Security Info.
  3. Sign in using your existing Microsoft 365 email address and password.
  4. Click Add sign-in method.
  5. Select Microsoft Authenticator (or Authenticator app) and click Add.
  6. Follow the prompts until a QR code appears on your computer screen.

Step 3 – Connect your mobile phone

On your mobile phone:

  1. Open the Microsoft Authenticator app.
  2. Tap the + symbol to add an account.
  3. Select Work or school account.
  4. Choose Scan a QR code.
  5. Use your phone’s camera to scan the QR code displayed on your computer.
  6. Leave the message on the phone screen and continue to the next step.

Step 4 – Confirm that MFA is working (back on your computer)

  1. Your computer will ask you to test Microsoft Authenticator.
  2. A notification will appear on your mobile phone.
  3. Enter the number shown on your computer into the Authenticator app, if requested.
  4. Approve the sign-in using your phone’s PIN, fingerprint or face recognition.
  5. Once the computer confirms successful registration, click Done.

Step 5 – You’re ready

Your Microsoft 365 account is now registered with Microsoft Authenticator.

The next time you sign in, Microsoft 365 may ask you to approve the login using the app on your phone.

Important: Never approve a sign-in request you did not initiate. If you receive an unexpected request, deny it and contact your IT support team.
